Intake Form
All Edmunds intake forms will be coming from report@formassembly.com. See below for example:
After assigning the ticket to yourself:
Move the status to “In Progress”.
Download all assets included in the form.
Some orders have multiple attachments that will be sent in an additional ticket from the client. If an intake form mentions creatives that aren’t included in the original form, reach out to the client for the additional files.
Adding Advertiser
The advertiser will need to be added to HootVid (where we will build the ads) and then to Hoot Monitor (where the feeds will be configured).
Add the advertiser in HootVid.
Add “Edmunds -” at the beginning of each advertiser name (Ex: “Les Stanford Buick GMC” becomes “Edmunds - Les Stanford Buick GMC”
Activate advertiser.
Add advertiser in HootMonitor.
Add the advertiser to the HootVid Agency account in HootMonitor.
Use the following naming convention “Account Name | Advertiser Name | Advertiser ID”
The Advertiser Name and ID should be exactly the same as they are listed in HootVid.
Create the data source.
The configuration will most likely be completed by the next day after adding the advertiser. Once the configuration is completed, create a custom feed with the following criteria, and copy the link. to add as a Data Source in HootVid.

Creating Ad(s)
Most Edmunds requests are companion style. However, we have many different templates for this client. Most of which are custom templates that are no longer needed.
For Companion requests, use the “Strategus Unlimited” template. This versatile template can handle 99.9% of companion requests, and has both a 15 and 30 second version.
For Digital Asset requests, use the “Edmunds CUSTOM Digital Asset 30” or “Edmunds CUSTOM Digital Asset 15” template.
If there is a request for a custom template or one that isn’t one of the above, please escalate the ticket to either Justin S. or Justin C.
When building your ad(s), there are two main areas of note:
Ad URL
Under the “Campaign Information” section of the intake form, there will be a section for the Ad URL. It will be a combination of the “Click through URL” and the “Edmunds UTM for all”.
Filtering options will be applied based on the intake form as well.
Canned Responses
There will be several canned responses in Jira for our managed service clients. When responding to a client, look for the “HV” designation in canned responses to help narrow down the one you’re looking for.
